Troubleshooting: Grading

This article outlines the most common causes of grading-related problems and how to troubleshoot them.

Scope

If you are experiencing issues with grading, outcomes, or assessment progress not updating correctly, there are several common areas to check before escalating the issue further.

Common Symptoms

You may encounter issues such as:

  • Unable to apply an outcome (e.g. Satisfactory)

  • Learner progress not updating (e.g. their answers are not saving)

  • Activity appearing locked or read only

  • Grades not saving

  • Students unable to view results

  • Outcomes not contributing toward competency

  • Auto-marking not behaving as expected

1. Check Whether the Assessment Is Still “In Progress” or "Submitted"

One of the most common causes is that the assessment has not yet been fully completed or submitted by the learner. Grading an In Progress activity will interfere with a learner's ability to complete the activity.

Things to verify first

  • Have all required questions/tasks been completed by the learner?

  • Has the learner submitted the activity?

Why this matters

Some grading and competency calculations will not update until:

  • the assessment is fully submitted

  • all marking is complete

  • or the assessment is finalised

2. Check Whether the Assessment Was Manually Marked While Still In Progress

Manually marking an activity before the learner has fully completed or submitted it can sometimes create inconsistent grading behaviour.

Things to verify

  • Was the assessment manually marked before submission?

  • Were satisfactory/not satisfactory results applied while the activity was still open?

  • Was the assessor editing outcomes while the learner was still actively completing the assessment?

Why this matters

Manual marking during an active/in-progress assessment may:

  • interfere with auto-marking logic

  • affect learner progress visibility

  • lock certain fields

  • create incomplete grading states

  • cause unexpected outcome behaviour

3. Check Whether the Unit/Module Was Marked as Competent

Directly applying a Competent outcome can sometimes bypass normal assessment progression or workflow logic. Once a unit/module receives a final outcome, all activities are locked. This means that the activities can no longer be editable by learner or assessor.

Things to verify

  • Was the unit manually marked as:

    • Competent

    • Credit Transfer

    • RPL

    • Not Competent

  • Was the competency applied directly rather than flowing from assessment results?

Why this matters

Manual competency application may:

  • override standard grading behaviour

  • bypass workflow triggers

  • lock all subsequent activities

  • affect learner progress calculations

4. Check Whether the Student Is Deactivated

If the learner has been deactivated, grading and progression may not function normally. Deactivated enrolments essentially archive all records. This means that no changes can be made to any activity or unit/module enrolled.

Things to verify

  • Is the learner profile active?

  • Is the enrolment still active?

  • Has the learner been removed/deactivated from the intake or journey?

Why this matters

Deactivated enrolments will:

  • prevent learners accessing the activities

  • fail to display updated progress

  • prevent grading

Review whether workflows are:

  • automatically applying outcomes

  • locking activities

  • transitioning assessments unexpectedly

2. Check Due Dates

Overdue assessments may:

  • become read only

  • auto-outcome

  • lock based on workflow configuration

3. Check Permissions

Ensure the assessor has permission to:

  • mark assessments (scope)

  • edit outcomes (settings)

  • override grading (activity design)
