Scope
This document will help explain each of the digitisation fields for both ‘training’ content and ‘assessment’ content.
Understanding the capabilities of the Cloud Assess content designer will help ensure the best result when it comes to digitising your content. By using this guide, your source material can be aligned (or even tagged) according to the field that you expect to see in the final digitised version. Prepping/aligning your source material prior to content digitisation will encourage a cost effective project, minimise revision requirements and ensure a timely completion date.
Understanding ‘Content Digitisation’
The process of ‘content digitisation’ is not equivalent to ‘instructional design’.
‘Content digitisation’ is the act of taking existing content (such as a Word document or similar) and translating it to an LMS environment. Based on the structure & quality of the source material, various options arise for the digital LMS equivalent. These options are explored in the chapters below.
‘Instructional design’, on the other hand, is the act of creating original content (intellectual property).
SCORM vs Cloud Assess
Another clarification regarding content digitisation is the difference between a ‘SCORM’ activity and a ‘Cloud Assess’ activity. ‘SCORM’ is a special type of file that is authored outside of the platform, using applications such as Articulate Rise or Adobe Captivate. These assets are then ‘published’ to an LMS. Activities in Cloud Assess share similar elements to SCORM (e.g. interactive fields), but the look and feel of SCORM is still different to activities built in Cloud Assess. Either option is available when scoping your content build requirements. The table below highlights the key differences between these two options:

Cloud Assess Project Process
If you choose to employ our content team for your requirements, the process is as follows:
Step 1: Initial Project Planning and Quoting
Cloud Assess works closely with the client to understand their content digitisation goals, priorities, and expected outcomes. During this stage, key requirements, timelines, and any known irregularities are discussed. A representative random sample of the content is reviewed to assess complexity, interactivity, and scope. This information is then used to prepare and present a detailed and transparent quote, which outlines costs, timelines, and inclusions for approval before work begins.
Step 2: Content Upload and Development
Once the project is approved, the client provides all required content via a dedicated Google Drive link (or similar). This ensures secure access and a single source of truth for all project materials. The Cloud Assess content team then begins digitising the content. Progress updates, collaboration, and feedback are managed through agreed communication channels to ensure visibility and alignment throughout development.
Step 3: Review and Refinement
The first completed unit or module is reviewed in detail with the client to confirm alignment with expectations and project standards. Feedback is discussed and incorporated, and this agreed format becomes the benchmark for all subsequent content. Clear timeframes for future deliveries are confirmed, and completed items are provided for review and timely sign-off. Once content is approved and activated, it is considered final unless further changes are formally agreed.
Step 4: Finalisation and Project Closure
After all units or modules have been reviewed and signed off, the content is finalised and ready for implementation. A final project meeting is held to review the completed work, address any remaining questions, and confirm overall satisfaction. This stage formally closes the digitisation process, with any additional changes or variations beyond final sign-off identified as out of scope and subject to additional charges if required.
Field Types
Each of the options below are referred to as ‘fields’ within the Cloud Assess content designer. Some fields are interchangeable between ‘training’ and ‘assessment’ (e.g. the table field).
‘Training’ Content
‘Text’ Category
Paragraph
This field allows for paragraphs of text to be digitised. The field includes a rich text editor that allows for colors, highlights, font sizes etc. Additionally, this field allows for hyperlinks to external URLs, embedded images and embedded videos. Suitable for all bodies of text.
Quote
This is a short text field that isolates/highlights a small portion of text with an profile image. Suitable for comments from academic staff.
Bullet/Numbered Lists
This field allows for text to be listed (either as bullet points or numbered points) with clear spacing.
‘Interactive’ Category
Tabs
This field allows for condensed areas of content. Multiple tabs can be stacked to carry text only, or text+image, or an image only. Additionally, the orientation of the text+image option can change from text-left, text-right, text-above or text-below. Suitable for multiple sub-topics within a larger topic.
Accordions
Similar to the ‘Tabs’ field, this field also allows condensed content. Each step of the accordion can respond in the same way as the ‘Paragraph’ field. Suitable for multiple sub-topics within a larger topic.
Tables
This field can behave as either a ‘training’ content field or an ‘assessment’ content field (if manual grading is applied). It is advisable to limit the number of columns as the user experience will change considerably based on their device. This field allows for static text fields, input text fields, date selectors and checkboxes. Highly suitable for observation checklists.
Flashcards
This field allows for short, direct text-based flashcards or image-based flashcards. Either side of the card can be configured as text or image. Best images results are achieved by having square proportions. Suitable for instructions or case studies.
‘Media’ Category
Image
This field allows for a large image to be embedded in the activity. This image will auto-size itself for the user’s device. A large image is recommended.
Audio
This field allows you to embed an audio file directly into the activity. This could be a recording that the learner listens to as part of their ‘training’ content.
Video
This field allows you to embed a video (with or without audio) directly into the activity. The video will continue to play as the learner navigates the section. The video will stop if the learner moves between sections.
File Attachment
This field allows you to attach downloadable resources into the activity. This might be a learner guide or a template document. PDFs are recommended to minimise compatibility requirements (i.e. a Word document will require a Microsoft 365 account. A PDF however will open in the browser).
HTML Embed
This is a special field that links any HTML content stored in the Frameworks to the activity.
'Assessment' Content
All assessment fields allow for rich text editing, images and/or videos to be embedded within the 'question' area.
‘Auto-graded’ Question Category
Embedded ‘assessor feedback’ areas can be enabled on all auto-graded fields. These fields are automatically hidden (or revealed) when used by the assessor.
Fill-in-the-blanks
This field allows the learner to either type or choose an answer in a sentence. The correct answers will need to be programmed (including any acceptable replacements). Suitable for verbatim responses.
Single/Multi-choice
These two fields (which are interchangeable in the field settings) allow for either a single correct response amidst incorrect options or a multi-correct response amidst other options. The number of options is unlimited (e.g. a question could have 15 options, with 5 correct answers). The available options can also be shuffled each time the learner opens the record. Additionally, the answer options can either be inline or listed. Suitable for both low AQF questions as well as observation reports.
Dropdowns
Similar in functionality to the ‘single choice’ field but presented differently - answer options are in a dropdown list.
Drag to Order
This field allows you to create ordered lists of answer options. The platform will automatically shuffle this list for the learner to complete.
Drag to Match
Similar to the ‘Drag to Order’ field, this field allows for matching ‘title and description’ based questions. The text space allows for a small sentence.
‘Manually-graded’ Question Category
All manually graded fields (including the ‘table’ field) allow for embedded model answer fields and embedded assessor feedback fields. These additional fields are automatically hidden from the learner, or revealed after submission respectively. The responses & embedded marking outcomes can be set to ‘required’ (or left as optional).
Short Answer (Singular or Stacked)
This field allows for a short sentence as an assessment response. This field can also be stacked to cater for questions such as ‘list five (5) ways to……’. Suitable for responses with a maximum of 15 words.
Long Answer
Similar to the ‘short answer’ field, this field also allows for a longer text based response. The answer field allows for scrolling or expanding. Suitable for short essay style questions.
File Upload
This field allows the user to upload a document or file. Multiple files can be uploaded. If this field is used via a smart device (smartphone or tablet), the camera on the device will activate and allow for images or videos to be uploaded directly into the activity. Suitable for uploading knowledge or performance evidence when used in conjunction with the ‘file attachment’ field.
Sketchpad
This field allows the user to sketch a response. Additionally, an image can be applied to the background of the field. The user can then draw on this image (e.g. image based identification questions).
‘Other’ Category
Signature Pad
This field can be assigned to any user that interacts with the activity. They can trace a signature onto the pad.
Date Picker
This field allows the user to choose a specific date. This may be in the context of a larger task above or below this field (e.g. a date picker below a ‘file upload’ field).
