Generating a Unit Progress Report

The Unit Progress Report allows organisations to view a detailed breakdown of learner progress for each intake, specifically down to the activity level. This report is essential for seeing exactly how many activities a learner has completed versus how many are still outstanding for each unit.

Step 1: Select Your Intake

  1. From the main Dashboard, click on Intakes in the left-hand navigation menu.

  2. Use the search bar to find the specific Intake you wish to report on.

  3. Click on the Intake title to open the enrolment list.

Step 2: Select Learners

You can generate this report for specific individuals or the entire group.

  • For specific learners: Click the checkboxes next to the names of the learners you want to include.

  • For all learners: Click the topmost checkbox in the header row to select everyone in the list.

Step 3: Export the Report

  1. Once learners are selected, click the Bulk Actions button located in the upper-right corner of the screen.

  2. Scroll down to the Export section of the dropdown menu.

  3. Select Unit Progress (XLSX).

  4. A pop-up will appear confirming the export. Select Selected enrolments to proceed.

Step 4: Download the File

  1. After requesting the export, a notification will appear. Click the Open Exports link in the green notification box (or navigate to Reports > Exports manually).

  2. Locate your file in the list. The status should show as "Created."

  3. Click the Download icon (downward arrow) on the right side of the row to save the Excel file to your computer.

Note: This action also sends an email containing the download link to where the report can also be downloaded.

Understanding the Unit Progress Report

The report provides a comprehensive view of learner status. Key columns in the report include:

  • Learner Name: The first and last name of the student.

  • Unit Code & Status: The specific unit being tracked and its current status (e.g., In Progress, Not Started).

  • Assigned Assessor: The trainer or assessor responsible for the learner.

  • Activity Counts:

    • Total Activities: The total number of required tasks in the unit.

    • Satisfactory Activities: The number of tasks the learner has successfully completed.

  • Activity Columns: The subsequent columns represent individual activities (e.g., Safety, Operational Plan). These cells display the specific status of that activity for that learner (e.g., Satisfactory, Not Started, or In Progress).

    • Note that a report may include multiple units, and the activities can vary between units. When a learner is not enrolled in a unit that includes a particular activity, the corresponding cell will be marked as โ€œN/Aโ€ to indicate that the activity does not apply to that learner.
