Public Course Calendar

This article explains how to configure and share your Public Course Calendar, which allows organisations to display their intakes and enrolment forms on a public website.

Scope: What is the Public Course Calendar?

The Public Course Calendar allows you to:

  • Display a calendar of your courses and intakes on a public URL.

  • Allow potential learners to access enrolment forms and enrol without needing to log in.

  • Link to the calendar directly on your organization's public website.

Method

Step 1: How to Set Up an Intake on the Public Calendar

The public display is configured at the Intake level.

  1. Navigate to Intakes: From the main dashboard, click on Intakes in the left-hand navigation menu. Create a new intake or open an existing intake.

  2. Go to Enrolment Settings: In the Edit Intake screen, click on the Enrolment settings tab.

  1. Activate Public Display:

    • Find the option "Display On Public Course Calendar" and check the box to turn it on.

    • Note: This is typically defaulted to 'off'.

  2. Configure Course Details:

    • Course Start/End Date: Select the start and end dates for the course from the calendar.

    • Show end date in public calendar: You may want to uncheck this if the course spans a long period (e.g., 6 months) to avoid the course appearing to span every day on the calendar.

    • Description (optional): Enter a short description for the public calendar.

    • Location (optional): Enter the physical location of the course (e.g., Gold Coast).

  3. Select Enrolment Forms:

    • Select enrolment form: Choose the enrolment form that learners will use to enrol in this specific course.

    • Select enquiry form (optional): Choose an enquiry form. When a learner submits this, a Contact should be created in your account to allow for follow-up. (This type of form is created as an ‘enrolment form’ that creates a ‘contact’)

  4. Limit Enrolments (Optional):

    • Check "Limit enrolment places".

    • Enter the "Max. number of learners". Once this number of learners has enroled, the option to enrol or inquire on the calendar will be hidden.

Save: Click Save in the top right to apply your changes.

Step 2: Sharing the Public Course Calendar URL

Public calendar URL: Your organisation specific URL will be shown in the Enrolment Settings. (e.g., https://orgname.assessapp.com/public-calendar).

You can use this public URL to link from your website. As an example, the link could be attached behind a button on your website or embedded as an iframe. Your website developer can assist you on this.

Public Calendar Views and Filters

The public calendar is a single public URL that offers three different ways to view the courses:

View

Description

Key Features

Calendar View

A traditional month-by-month calendar showing courses as colored blocks on the days they run.

Allows viewing by Day, Week, or Month. Shows available places (if configured) on the block.

List View

A simple table listing all available courses.

Displays Course Title, Start/End Date, Location, Available Places, and Price.

Catalogue View

A visual card-based view, listing courses with an image and intake count.

Clicking on a course in this view will take you back to the Calendar View with that course pre-filtered.

Filtering

Prospective learners can use the Filter option (top right) to narrow down the displayed courses by course name.
